1. Overview
ReachHawks gives authorized users controls to disconnect integrations, delete mailbox records and request deletion of workspace or account data. This page explains the practical steps, including for data obtained through Google Workspace APIs.
For Google Workspace connections, deleting or disconnecting a mailbox stops future synchronization and removes or invalidates the ReachHawks connection credentials according to the product workflow. Historical data already synchronized into ReachHawks may need to be deleted separately as described below.
2. Disconnect Google Workspace
- Sign in to ReachHawks and open the workspace that owns the mailbox.
- Open Mailboxes and locate the Google Workspace mailbox.
- Choose the available disconnect/delete action and confirm the request.
- ReachHawks stops future Gmail synchronization for that connection and invalidates or removes stored OAuth connection credentials according to the product workflow.
You can also revoke ReachHawks access from your Google Account security settings. Revoking access at Google stops future API access, but it does not automatically remove historical data that was previously synchronized into ReachHawks.
3. Delete a mailbox and synchronized conversation data
Use the mailbox deletion control in the applicable ReachHawks workspace. Mailbox deletion is designed to remove the active mailbox connection and associated operational records that no longer need to remain active. Some historical records may be retained only where required for security, abuse prevention, legal obligations, backups or integrity of existing customer records.
If synchronized Gmail conversation data remains visible after disconnecting a mailbox and you want it removed, contact us using the verified deletion-request process below.
4. Delete workspace or account data
Workspace owners or other authorized account holders may request deletion of a workspace or account through available product controls or by emailing hello@reachhawks.com. We may ask you to verify identity, workspace ownership and authority before processing the request.
Where a workspace contains data belonging to multiple members or a customer organization, we may require confirmation from the workspace owner or another authorized administrator before deleting shared business records.
5. OAuth credentials and connection tokens
Google OAuth credentials and other connection tokens are confidential operational data. ReachHawks uses them only to operate the connection you authorize. When the related mailbox is deleted or disconnected, ReachHawks invalidates, replaces or removes active connection credentials according to the integration workflow so they are no longer used for ongoing synchronization.
6. Retention and backups
Deletion from the active product does not always mean immediate erasure from every backup or security record. Limited copies may remain for a reasonable period in protected backups, fraud/abuse records, audit logs or records we are legally required to retain. Such retained data is not used to continue the disconnected mailbox feature and is removed or overwritten according to applicable retention processes.
7. Submit a verified deletion request
Email hello@reachhawks.com with the subject Data Deletion Request. Include the ReachHawks workspace name, the email address associated with the account or mailbox, and a clear description of the data you want deleted. Do not send passwords, OAuth tokens or API keys by email.
We will verify the request before taking action and will respond with any additional information needed to identify the correct workspace or records.
